OFFICE COORDINATOR

Primary Objective:

Seeking a friendly, gracious team player to coordinate the front office and facility maintenance at a highly evolved, environmentally conscious Interior Design firm. Ability to meet ongoing challenges of maintaining an efficient and streamlined office and to provide support and timely information in a service-oriented environment. Excellent communications with our internal team, clients, and vendors is a must. Detail oriented, proactive, problem solving, able to multi-task with outstanding organizational skills as well as being flexible and having a willingness and desire to learn is essential.

Primary Job Activities:

Answer phones, greet guests, coordinate travel, deliveries, and order supplies while keeping the office running smoothly. Distribute mail, update subscriptions and mailing lists. Filing, data entry and on site/off site record keeping. Prepare, edit and revise correspondence and documents, ie: agendas, meeting minutes, and action items. Facilities and equipment management and maintenance. Follow up calls to vendors, showrooms, and shipping companies.

Work Hours:

Full-time; 32-40 hours/week

Monday through Thursday, 8am – 6pm

Minimum Qualifications:

Professional manner and ability to fit into a creative environment. Skilled in Microsoft Office including Excel, Word, and PowerPoint.  Ability to troubleshoot network, software and computer issues. Interest or background in environmental sustainability, purchasing, accounting, design, or other business-related pursuits are welcome.

DESIGN ASSISTANT

Primary Objective:

We are looking for a Design Assistant to provide support and timely information to our entire design team in a service-oriented environment. We are seeking a detail oriented, proactive, problem solving, multitasking team player with excellent organization and communication skills. Being flexible and having a keen desire to learn are key.

Primary Job Activities:

Assist our Design Team with various tasks including, but not limited to:

  • Vendor research and communication
  • Placing requests for CFA’s, quotes, and invoices
  • AutoCAD drawing
  • Revit drawing, modeling, and rendering
  • SketchUp modeling and rendering
  • Presentation preparation
  • Opportunities for client/vendor/contractor interaction and skill building during consultations, site visits, field surveys, installations, showroom visits, and more
  • Accurate time keeping of billable hours
  • Maintain organized project files and archives
  • Adhere to company design and drafting standards
  • Maintain a collaborative environment with internal team
  • Daily business items such as receiving/making calls, preparing and responding to emails, filing, library updating, internal project team meetings, office organization, etc.

Minimum Qualifications:

  • 1 – 2 years of experience preferred
  • Extremely detail oriented and organized
  • Excellent written and oral communication skills
  • Ability to prioritize and manage tasks against deadlines and other metrics
  • Self-starter, motivated, takes initiative, has strong work ethic
  • LEED GA/LEED AP, strong commitment to environmental project goals
  • High proficiency in Microsoft Office, AutoCAD, Revit and Adobe Creative Suite
  • Bachelor’s Degree from CIDA accredited Interior Design Program

REVIT/CAD DRAFTSPERSON

  • File coordination and conversion of Architect’s drawing files
  • Maintain organized project files and archives
  • SketchUp modeling and rendering
  • Accurate time keeping of billable hours
  • Adhere to company design and drafting standards
  • Stay current with the latest software, technology and techniques used in the design industry
  • Monitor and uphold document quality, revisions and changes coordination
  • Maintain a collaborative environment with internal team
  • Daily business items such as receiving/making calls, preparing and responding to emails, internal project team meetings, office organization, etc.

Minimum Qualifications:

  • Minimum three years of experience in architectural and/or design drafting
  • High proficiency in AutoCAD, Revit, SketchUp, Microsoft Office and Adobe
  • Extremely detail oriented and organized
  • Excellent written and oral communication skills
  • Ability to prioritize and manage tasks to efficiently meet project deadlines and other metrics
  • Self-starter, motivated, takes initiative, has strong work ethic
  • Ability to work independently and as part of a team
  • Global sensitivity and knowledge of sustainable design preferred
  • Bachelor’s Degree preferred; Associates Degree in CAD Drafting or similar education will also be considered
